Step 1 - Navigate to the Desired 9902 Control List View and Create a Copy using “Clone” Step Two - Add a filter by Counselor to customize your new List View

The 9902 Control List Views help you quickly clean your data by displaying all records marked “Report to HUD” along with the fields required for HUD 9902 submission. Because these fields can be edited directly in the List View, you can update missing information without opening each record. This article shows how to clone and filter a Control List View by counselor so each counselor can review their own records.


Step 1 - Navigate to the Desired 9902 Control List View and Create a Copy using “Clone”

First, select the List View you would like to customize for your counselors. In this example, we will be using the "9902 Control: One on One Counseling" List View on the Counseling/Education Object.

  1. Click on the Counseling/Education Object tab at the top of your page. 
  2. Then, click on the drop-down next to your List View pick-list. 
  3. Select "9902 Control: One on One Counseling" from the drop-down.

NOTE: 9902 Control List Views are available on the following Objects: Agency, Agency Contact, Services, Counseling/Education, Group Sessions, and Log Items. There are also separate List Views that filter by Record Type on the Counseling/Education and Service File objects, which show only 1-1 Counseling or Group Education records.

 
  1. Then, click on the gear icon on the right to access your List View Controls, and select "Clone" from the drop-down.

  1. Rename your new List View to include the name of the Counselor and any other details needed. The List API Name will fill in automatically.
  2. Under "Who Sees This View" select "All users can see this list view" and click “Save.”

Step Two - Add a filter by Counselor to customize your new List View

Now that you've created your new List View, you can filter by Counselor. 

  1. Select the funnel icon on the far right of your List View to access your Filters, then click “Add Filter.”

  1. Finally, in your new filter, select "Counselor" under the "Field." Your operator should be "equals," then type the counselor's name under "Value." Then click "Done" and "Save"

CAUTION: Make sure the counselor's name under "Value" matches their Agency Contact record name EXACTLY; otherwise, the List View won't return any records.

 

DONE! You now have a 9902 Control List View that is filtered by counselor. 

You can repeat these steps for each counselor, and each List View where you'd like your counselors to be able to review their own records and clean them for submission.
