Density Settings Navigation Bar Default Values for Quick Action Change Default Fee for ‘New 1-1 Counseling’ Quick Action

HomeKeeper allows you to set defaults in various places: field values, navigation, and quick actions. This article covers how the HomeKeeper Team sets your defaults during configuration, and what tools you have for setting defaults to improve staff efficiency and data entry.


HomeKeeper Defaults Overview

This article covers different core areas of Salesforce and HomeKeeper, organized around the ability to pre-fill data to save time and improve data accuracy. During your HomeKeeper configuration, our team will set a few of those defaults, determined by the information you provide during your Getting Started Meeting. These include:

  • Your app layout
  • Maximum AMI
  • Housing Ratios
  • Navigation menu

Once these defaults are set, you can go in and update them again as needed to best suit your business processes. In addition to these defaults, there are other areas in HomeKeeper that can be modified.

HomeKeeper Default Settings Menu

You can access the HomeKeeper Defaults menu from Setup → Custom Settings → HomeKeeper Defaults

Three defaults can be adjusted from this menu by clicking the ‘Manage’ button at the top of the screen. All three fields are represented as a percent field, and you can hover over the question marks next to the field labels for more information.

These default values represent the maximum income levels and ratios for program qualification purposes. They can be used to compare the difference between actual AMI and Ratios to the program maximums and for other purposes, like calculating the maximum mortgage payment amount based on interest rates.

Once you've made your adjustments, be sure to hit ‘Save’ to finalize the changes.

Salesforce Defaults Overview

There are some built-in Salesforce defaults that can be set by an administrator to further customize your instance. 

Density Settings

Salesforce provides two options for interface display - comfy and compact. This article from Salesforce provides a detailed comparison of the two. By default, your HomeKeeper is set to compact. If you wish to change it, you can do so from Setup → User Interface → Density Settings.

There is no save button, once you've selected your preference, it will update. If you're not seeing the update right away, you may need to clear your cache or wait 15 minutes.

Navigation Bar

Users can customize their own navigation bar, but as an admin, you can set which navigation items appear by default.

To do so, navigate to Setup → App Manager and find the App that you want to update the navigation bar for. Click the dropdown arrow next to it and click ‘Edit’.

Select ‘Navigation Items’ and use the arrows to configure the navigation bar to your liking. Users will still be able to customize their own navigation bar, but it will default to the layout you've set up.

You can add new items, but you cannot customize the default HomeKeeper navigation. If you use a different app, you may have full control over the navigation bar. Once you've made your changes, click ‘Save’ to finalize.

Default Values for Quick Action

Quick Actions are a Salesforce feature that provides a quicker data entry experience for your users. This article provides an overview of Quick Actions, which appear as buttons on a record page.

HomeKeeper comes with several built-in Quick Actions, such as ‘New 1-1 Counseling’. During configuration, we may set default values for these actions based on preferences shared during your Getting Started Meeting. As an admin, you can modify those defaults at any time.

The example below will walk you through updating the default value for a field on a Quick Action.

Change Default Fee for ‘New 1-1 Counseling’ Quick Action

In this how-to, we'll edit a Service File Quick Action that creates a new Counseling/Education record, and we'll set a field called Fee to always fill in with the value of $0, for programs that don't charge for their services

Follow along with the video tutorial, or with step-by-step instructions below:

  1. Start from a record with the Quick Action that you're looking to update. In this example, it will be a Service File.
  2. Click the gear icon in the upper righthand corner, and select ‘Edit Object’.
  1. On the left navigation pane, select ‘Buttons, Links and Actions’ and locate the ‘New 1-1 Counseling’ action.

There are several Buttons, Links and Actions delivered with HomeKeeper. The type "Action Layout Editor" is the newer Lightning Quick Action type, where it allows for you to create a Related Object, define a layout as well as Predefined Field Values.

Click ‘New 1-1 Counseling' to open the editor.

  1. Add a new predefined value.

Scroll down to view the predefined values. You'll see a few there already that are being used to populate the Address fields, Status field, and Intake Date. We can use formulas to define them for really dynamic prefilling!

We'll create a new one for the Fee field. Click on "New" and find the field "Fee"

Once selected, there's a small section to add a predefined value. Click on the link to open the formula editor

You can simply enter text, reference other fields on the Service File, and/or use conditionals to determine the default field value. Be thoughtful about how you structure them as they can be very dynamic (or very confusing!). In this example, we're just entering ‘0’.

If you're using a more complicated formula, click ‘Check Syntax’ to verify that it works. Once you're done, hit Save

  1. Add the field to the layout.

Once the field is defined, you can then add it to the layout. Click on the Edit Layout button

Find the Fee field, and drag and drop it into the layout. Here, we've placed it in the right column, bumping the open text "Notes" field to the bottom. When only one field is on a row, it will span both, so it's most appropriate to have that be the open text field! Hit save when you're done.

  1. Check your work.

Hooray! The Fee is now set to $0 when using the Quick 1-1 Counseling Action!
