Enter and Update Counseling Agency Information

Agencies in HomeKeeper track the important details about your Housing Counseling Agency, which will be reported to HUD in your 9902. Follow the instructions below to enter and update Agency information.
Step One: Navigate to the Agency Object to Find Your Agency
- Make sure you are on HomeKeeper's Housing Counseling App. You can navigate to it from the App Launcher in the upper left-hand corner.
- Select the "Agencies" tab.

Change the List View to "All" to check if your program is already listed as an Agency in HomeKeeper.
- The agency record is typically created during your HomeKeeper implementation. You should not need to create a new record.
NOTE: If the Agency is missing, or you need to create an additional Agency record for a partner organization for whom you will be reporting, click “New” to create an Agency record.
Step Two: Update Important Fields on Agency
- On an Agency, you will enter all the information about your program to be reported to HUD, including:
- Agency ID
- EIN
- UEI Number
- Contact Information and Physical Address
- Agency Counseling Methods and Agency Languages
- Agency Budget
- This will be the budget specifically for your Counseling program. If your organization offers other types of services, you can exclude the budget from those programs.
- And Agency Service Details such as Urban Area, Rural Area, Colonias ect.
NOTE: If you can't find your Agency's information, you can log into HCS and copy information from there, or reach out to your HUD Contact for assistance.
Step Three: Double-Check “HUD Helper” fields to ensure all required fields are complete
- You will be prompted to check that Agency fields are complete prior to reporting, using the "HUD Helper" fields - the first two fields in the right-hand column.
Step Four: Double Check Agency Information Each Quarter, and Update to Reflect Changes
- As information about your Agency changes, make sure to update your Agency record to reflect those changes!
EXAMPLE: Your Agency's "Budget" will likely change every year and needs to be updated. Also, be sure to check things like Languages and Counseling Methods as staff turnover occurs.
