Your Nonprofit Edition of Salesforce comes with a set number of user licenses and data storage. System Administrators should monitor this information to anticipate whether you are exceeding limits and incurring extra costs from Salesforce.

Use their self-service Your Account feature, or contact your Salesforce Representative (or call 1-800-No Software) to add licenses or discuss your usage requirements.

Navigate to the Company Information Page in Setup

First, navigate to Salesforce Setup by clicking on the gear icon and clicking on Setup.

Once you're in setup, search for Company Information.

Data Space and Used File Space

In the right column, you'll see “Used Data Space” and “Used File Space.” Click on "View" for more details.

Salesforce Licenses

The "User Licenses" Section will detail the number of licenses available, used, and remaining. If there are any trials you are testing out licenses for, you can view their expiration date.

NOTE: We've written up an article on the difference between a few different Salesforce Editions and License types here: Salesforce Org Type and License Guide.

Used Data Storage

Records vary in size based on the number of fields filled out and the type of fields. For example, rich text fields will have a higher storage value than Text Areas. They're all sorted by the percentage of data storage each Object consumes.

You can also view by user, based on the records they created:

Used File Storage

View the storage used by files uploaded to Salesforce. “Log Items” are User Activity Logs. "Content Bodies" are the developer title for the Files feature. “Attachments” and “Documents” are the legacy document storage feature. “Photos” are part of the asset library.

CAUTION: Log Items are a HomeKeeper Object, but this section is not HomeKeeper related - it is referring to User Activity Logs.

Your Account Page

Your Account is the self-service feature Salesforce has implemented for you to order more licenses, features, services, and data storage. Click on the gear icon and click on Your Account:

You can find more details on functionality in Salesforce's Your Account article, but here are some highlights:

  1. Browse and buy Licenses and Products
  2. Make payments on Invoices
  3. Find your Account Executive and their contact information for questions about your Account
