Mass Editing with List Views and Reports

If you need to make changes to multiple records at once, you have a couple of ways to do that. This article covers how to mass edit using list views and reports.

Mass Edit Using List Views
You can edit the values of multiple records at once using a List View. This will quickly allow you to change the same field for multiple records at once, allowing you to complete, correct, and edit data en masse, speeding up your workflow! HomeKeeper utilizes this feature by providing 40+ built-in List Views for organizations. When filtered by a record type, you can even mass-edit hundreds of records in a few clicks.
List View editing can be used for things like:
- Spotting and filling in missing data
- Managing application, purchase, resale, or property pipeline

Step-by-Step Instructions
First, click on the tab of the object with records you'd like to edit. In this example, we'll edit Service Files.
Click the dropdown to select a filtered List View. The List View will default to Recently Viewed, but you can only make in-line edits to List Views that have been filtered by Record Type.
Select the check box to the left of all fields you are editing. Now, when you hover over any of the editable fields on the list, a pen icon will appear.
Click on the pen icon to edit that field. You will be able to make multiple changes at once using this method.
Check the box that says “Update selected items” and click Apply to finalize. All columns will be updated.
Pending changes will be highlighted in yellow - this allows you to review your updates before finalizing them.
Once you're happy with the changes, click ‘Save’ at the bottom of the screen to finalize them.
Mass Edit Using Reports
You can also mass edit records from a Report.
Step-by-Step Instructions
Navigate to a Report that shows you all the records that you want to edit. In this example, we'll use the Homeownership Service Files by Status, located in the Homeownership Reports folder.
Once you've clicked into the Report, click the ‘Enable Field Editing’ button in the upper right-hand corner.
Now, you can edit any field on the report by hovering over it and clicking the pen icon that appears.
Changed fields will be highlighted in yellow until you finalize the changes.
Once you've made all your changes, click the ‘Save’ button at the bottom of the screen to finalize the update.
