List Views are a great tool that allows you to quickly view selected lists of records and make mass updates to them. Each primary HomeKeeper Object includes several custom List Views. This article also provides guidance on creating your own.

Overview
When you click into a navigation tab, you'll be brought to a list of records for that Object. By default, this list will be ‘Recently Viewed’ records. This is handy if you want to quickly reference a record you've been working on regularly, but there are plenty of other lists that you may find useful.

List Views function as a simplified report. From the list, you can view summary data, click into specific records, and search for specific records using the ‘Search this List…’ bar.
Default List Views
HomeKeeper comes with a number of pre-built list views. Learn what list views you already have by selecting one from the dropdown options.
If you want a different List View to show up when you click the relevant navigation tab, you can set a new default List View. Navigate to the List View you want to use, and click the pin icon next to the title.
Clone a List View
To save time, you can clone an existing List View. This creates a new list with the filters and columns from the original.
For this example, we're using the ‘Homeownership Files’ list as a starting point, because it shares characteristics we're looking for in our new view.
To clone this list, click the gear icon to the right of the search bar. From the dropdown, click ‘Clone’.

Name Your Listview. You will be given the option to name your List View and determine who can view it.
- Enter a List Name, then press Tab on your keyboard to automatically populate a List API Name. Select the visibility for the new list and click ‘Save'. For this example, we're naming the list ‘Homeownership Files - Wait List’ and allowing all users to use it.
Set Sharing Settings. You can create private lists that only you can see, or share them with the rest of your team.
After you click ‘Save’, the list will be created and the filter pane will open. The Homeownership Files list has one filter, ‘Record Type’ = ‘Homeownership’. Since we cloned that list, our new List View shares that one filter.
To add an additional filter, click the ‘Add Filter’ button in the filter pane. For this example, we will add additional filter to show Service Files on the waitlist.

Select the ‘Status’ field and set the value to ‘Wait List’, then click ‘Done’.
You'll see the new filter beneath the existing one. Be sure to click ‘Save’ to finalize the update. You've now created a new List View!
Create a New List View
Cloning List Views can save you some time, but maybe there isn't an existing list that meets your needs. To create a list from scratch, click the gear icon and select ‘New’.
It will prompt you to enter the List Name and choose who can view the List View. Clicking ‘Save’ creates a list with one default filter, ‘Filter by Owner’ = ‘My services’. This means that it will display all records that were either created by you or assigned to you by another user.
For this example, we're going to create a list of Service Files created in 2025.
Adjust List View Filters
You can filter by any field on the object. It can be helpful to go into a record and look at which fields you want to filter by. In this example, we're filtering by ‘Created Date’.
To start, we'll change ‘Filter by Owner’ to include all records, not just the ones owned by you.
Then, we'll add a new filter by clicking the ‘Add Filter’ button.
In our example, we'll select ‘Created Date’, set the operator to ‘greater or equal’, and enter ‘1/1/2025’ for the value. This filters records to show only those created on or after 1/1/2025.
Click ‘Done’ to add the new filter.
For this example, we also want to create another filter to mark the end of the year:
- Field = Created Date
- Operator = less or equal
- Value = 12/31/2025
- Click ‘Done’ to add the new filter
NOTE: By applying BOTH of these filters, we will see only records that were created between 1/1/2025 and 12/31/2025.
Review everything to make sure it looks correct, and click ‘Save’. The list will now only display Service Files created in 2025.

Adjust List View Columns
New List Views only show one column by default - ‘Service File Name’. That doesn't give you a lot of information.
To add new columns to a List View, click the gear icon and click 'Select fields to display.' You can display any field on the Object.
Fields are listed in alphabetical order. To make a field visible, select the one you want and click the top arrow to move it over. Once you've selected all the fields that you want to display as columns, click ‘Save’ to finalize the changes.
Your List View will now display the columns you selected!
